Job Summary

Manage calendars and schedule meetings for multiple executives, including recurring sessions and offsites, while handling logistics, speakers, and follow-ups. Coordinate travel arrangements for leaders and teams, making mid-trip changes as needed, and oversee expense reporting, budget management, and invoice reviews. Serve as the first point of contact for internal and external inquiries, screen communications for action items, and draft executive responses. Assist with vendor communications, event planning, and conference bookings, while supporting office supplies and team-building initiatives. Lead special projects as assigned and provide assistance with office procedures to enhance productivity. This hybrid role involves working two days in Columbus, OH, with remote flexibility, reporting to an Associate Vice President or above.

Required Qualifications

  • High school, vocational or technical business school studies in secretarial science
  • some undergraduate-level coursework
  • six or more years related administrative assistant experience
  • Knowledge of company policies and organizational structure
  • Understanding of office practices and procedures
  • Ability to make decisions and recommend solutions to work processing and office management problems
  • Strong communication skills to interact with all levels of leaders, associates, and external contacts
  • Ability to proofread own work and work of others for content and format accuracy
  • Intermediate mathematical calculation skills
  • Ability to build effective business relationships
