Job Summary
Manage the Agency Administrator's calendar, meetings, travel, and correspondence while preparing reports, presentations, and executive documents. Coordinate special projects, maintain confidential records, and organize document management systems. Serve as the primary liaison with department managers, staff, vendors, and community partners. Provide secondary administrative support to the CEO and Program Director, including recruiting, onboarding, and performance review processes. Assist with licensing, accreditation, audit preparation, and grant documentation to ensure compliance. Requires three years of executive administrative experience and proficiency in Microsoft 365, QuickBooks, and SharePoint. Full-time exempt position.
Required Qualifications
- Three years of executive administrative experience
- Advanced Microsoft 365 proficiency
- Exceptional organizational and multitasking skills
- Advanced proficiency in Microsoft Outlook, Word, Excel, Teams, and SharePoint
- Strong professional writing and communication skills
- Ability to handle confidential information with discretion
- Excellent judgment, problem-solving, and initiative
- Ability to prioritize multiple competing demands
- Strong interpersonal and customer service skills
- Ability to work independently with minimal supervision
Desired Qualifications
- Bachelor's degree in Business Administrator, Office Administration, HR, or related field
- Experience in nonprofit, healthcare, social services, or behavioral health settings
