Executive Administrative Assistant

Job Summary
Manage client center access and serve as the primary contact for all visitors while maintaining complex calendars with strict confidentiality. Handle heavy call volumes from external clients and internal management, and coordinate logistics for offsite conferences, including catering, transportation, and meeting room reservations. Arrange domestic travel for executives and process invoices, T&E claims, and sponsorship requests as a subject matter expert on policies. Assist with staff on-boarding and off-boarding, produce high-quality communications, and edit presentations for client meetings. Work collaboratively with fellow assistants to support office-wide tasks while adhering to office goals. Requires five days in-office attendance (Mon-Fri) and at least five years of experience supporting Managing Director-level executives.
Required Qualifications
- At least five years of administrative experience, supporting at the Managing Director level (or equivalent) or above
- Advanced ability to organize
- Discretion and good judgment in confidential situations, and proven experience interacting with senior management
- Strong interpersonal, written, and oral communication skills
- Strong ability to multi-task and prioritize
- Strong proficiency in Microsoft Office and Concur
- Excellent telephone etiquette and ability to manage competing priorities i.e., calendar management
- Excellent written and oral communication with both external clients and internal colleagues
- Must be able to work five days in the office (Mon-Fri)
- Must not support Hybrid options
