Job Summary
Manage the CEO and President's complex calendar, coordinate travel, and serve as the primary liaison for internal and external stakeholders seeking executive access. Facilitate communication flow between leadership, staff, and the Board of Directors while maintaining clear documentation of decisions and tracking action items. Prepare Board packages, draft correspondence, and record meeting minutes for leadership sessions, cross-functional initiatives, and the Infrastructure Engineering Foundation. Supervise clerical staff, manage the executive office budget, and oversee inventory and mail distribution. This role operates in a fast-paced environment requiring discretion and strategic prioritization, with a minimum four-day office presence.
Required Qualifications
- Minimum 7-10 years of progressive executive assistant experience
- At least 3-5 years supporting C-Suite executives
- Demonstrated experience working directly with CEO, President and or Board of Directors
- Experience in professional services, engineering, construction, or related industries
- Proven track record of managing complex, high-volume calendars and competing priorities
- High proficiency in Microsoft Office Suite
- High proficiency with collaboration tools and client relationship management systems
- Strong technological aptitude and ability to quickly master new platforms
- Must be authorized to work for ANY employer in the U.S.
- Must be available to work extra hours, including weekends
- Must be able to travel to local meetings, conferences, training, etc. as well as to other IEI Markets as requested
- Must be able to lift and/or move up to 20 pounds
- Must be able to occasionally lift and/or move up to 30 pounds
Desired Qualifications
- Bachelor's degree preferred
- Professional certification (CAP, PACE, or similar)
- Experience in professional services, engineering, construction, or related industries
