Executive Administrative Assistant

Job Summary
Executive Administrative Assistant responsible for strategic planning, management, and execution of major university events from concept to post-event analysis. Lead event operations, coordinate with executive leadership and multiple stakeholders, manage budgets and vendor relationships, ensure compliance with university policies, and oversee the full event lifecycle. Requires strong organizational leadership, stakeholder engagement, team coordination, documentation, and proficiency in Microsoft Office Suite (SharePoint and Excel). Primary responsibilities include developing strategic event plans aligned with goals, leading planning committees, coordinating cross-departmental efforts (IT, Security, Facilities, Marketing, Academic Affairs), managing logistics (AV/IT setup, venue readiness, guest services), vendor procurement, site visits, and post-event reporting, plus maintaining vendor directories and planning resources. Minimum qualifications include a Bachelor’s degree and 3–5 years of progressive event-management experience, with emphasis on ability to independently plan and execute complex events involving multiple stakeholders; travel within Kuwait and evenings/weekends as needed.
Required Qualifications
- Bachelor’s degree required
- Minimum 3–5 years of progressive experience in event management
- Experience within higher education or nonprofit environment preferred
- Strong leadership, interpersonal, and communication skills
- Proficiency in Microsoft Office Suite, including Excel; familiarity with SharePoint and Monday.com (or similar project coordination tools)
