Job Summary

Coordinate and run a range of events, from in-person gatherings to webinars, by planning logistics, managing vendors, and providing on-the-day support for check-ins and attendee needs. Manage travel arrangements for colleagues attending international conferences, including flights, accommodation, and visas, while resolving last-minute changes. Maintain the contact database in Salesforce, handle database queries, and send marketing materials to partners and donors. Support research into venues and suppliers, gather feedback from events, and prepare reports on engagement impact. Assist the Communications team with social media posts and website write-ups.

Required Qualifications

  • Experience organising in-person or online events, or supporting engagement activities, through work, volunteering, or academic experience
  • Strong organisational skills, with the ability to manage multiple tasks, prioritise well, and work to deadlines
  • Responsiveness and reliability, replying promptly to colleagues, suppliers, and stakeholders
  • Close attention to detail, and an understanding of why accuracy matters in documents, itineraries, and event materials
  • Good problem-solving instincts, and a level head when plans change at the last minute
  • Clear written and verbal communication, for coordinating with colleagues, vendors, and attendees
  • Confidence with Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Experience with database or project management software, such as Salesforce or Asana, or a willingness to learn them quickly
  • An approachable, enthusiastic manner, comfortable representing Synchronicity Earth to a range of external audiences

  • Location: London-based, with hybrid option
  • During probation period, you'll be in the office four days a week
  • Full time, 40 hours a week, including occasional evening events

Desired Qualifications

  • Support colleagues attending international conferences, helping the logistics run smoothly so they can focus on the conversations that matter
  • Help plan, coordinate, and run a range of events, working with vendors, venues, and partners such as AV and language interpretation suppliers and caterers, to keep things running smoothly
  • Support event promotion and audience engagement. This covers attendee communications, tracking RSVPs, handling accessibility requests, and keeping invitation lists current
  • Provide on-the-day support, including check-ins, set-up, pack-down, and responding to attendee needs as they come up
  • Help resolve travel-related issues or last-minute changes
  • Track event budgets and process purchase orders and invoices
  • Support external event communications with our Communications team, including social media posts and short write-ups for the website
  • Keep internal coordination running smoothly, updating our project tool, Asana, and sharing updates with the team where it matters
  • Support the Engagement Manager with research into venues, caterers, suppliers, and sector trends
  • Help identify opportunities for collaboration and partnership through desk-based research
  • Help gather feedback, data, and stories from events to understand their impact
  • Contribute to monitoring and reporting that supports the evaluation of our engagement work
  • Help prepare materials and reports that share the impact of this work with colleagues internally
  • Maintain and update our contact database in Salesforce (the system we use to manage relationships with partners, donors, and supporters), keeping it accurate and well organised
  • Support database queries and reporting, and help group contacts so the right people receive the right communications
  • Help send key marketing materials and donor or partner updates to the right contacts
  • Support colleagues travelling to national and international conferences, such as COP and New York Climate Week. This includes arranging flights, accommodation, visas, and itineraries, in line with our policies and budgets
