Job Summary
Events Operations & Logistics coordination across sponsorship, vendor management, and on-the-ground event logistics. Build and maintain event timelines, checklists, and task trackers; coordinate vendor onboarding, approvals, communications, and deliverables; track venue requirements, site maps, permits, insurance needs, and operational run-of-show documents; support staffing coordination, call sheets, confirmations, and day-of operations prep; follow up with venues and vendors to close loops and confirm next steps. Sponsorship management includes researching and building qualified sponsor lead databases, conducting outreach via email/DM/calls, scheduling sponsor meetings, tracking agreements, invoices, and payments, and maintaining CRM/trackers to report pipeline health. Marketing & audience growth responsibilities include managing content calendars, scheduling social posts, coordinating asset needs and partner/sponsor amplification timelines, and engaging with community comments/DMs. Administrative support covers inbox triage, email drafting, calendar management, contract and invoice preparation, and organized filing; requires hard skills in project and timeline management, CRM/database tracking, research and lead generation, email/calendar management, social media scheduling, basic contract/invoice handling, and proficiency with Google Workspace/Excel/Sheets; soft skills include proactive ownership, meticulous organization, relentless follow-up, stakeholder management, clear communication, resourcefulness, and calm under pressure. Remote work setup requirements (computer specs, internet speed) and standard hours (U.S. Central time) are outlined; compensation is $7 per hour with a 40-hour workweek and no benefits. Weekend availability is acceptable; growth with a founder-led, expanding company is highlighted.
Required Qualifications
- Proven experience in event management coordinating large events (100+ attendees)
- Demonstrated experience with sponsorship support (prospecting, outreach, follow-ups, tracking deliverables/payments)
- Strong vendor management and logistics coordination across multiple stakeholders
- Excellent written and verbal English; confident communicating with sponsors, vendors, and venues
