Job Summary
Plan, coordinate, and deliver a wide range of school events, including student activities, parent engagements, public carnivals, PR activations, and graduation celebrations. Manage everything from budgets and vendors to on-the-day execution, ensuring each event runs smoothly and reinforces the school's brand. Source, negotiate with, and manage vendors for catering, AV, decor, and venues while tracking expenses to stay within allocated resources. Oversee event setup, troubleshoot live issues, and handle closeout procedures. Support promotion through email, website, and social media, then gather feedback and provide reports for future improvement. Ensure compliance with safeguarding policies, health and safety regulations, and local ministry requirements. Work with school leadership, teaching staff, and admissions to align objectives with strategy. Submit a CV, covering letter, profile photo, safeguarding details, and referee information for an enhanced criminal background check.
Required Qualifications
- Bachelor's degree in Event Management, Marketing, Communications, Hospitality, or a related field (or equivalent practical experience)
- 1-3 years of experience in event planning or coordination, ideally across varied event types (community, corporate, or educational)
- Experience managing vendors, budgets, and logistics for multiple concurrent events
- Excellent organisational and multitasking skills, with strong attention to detail
- Strong interpersonal and communication skills, comfortable liaising with parents, staff, vendors, and the public
- Ability to remain calm and solutions-focused under pressure, particularly during live events
- Creative flair for designing engaging, memorable event experiences
- Flexibility to work outside standard hours (evenings/weekends) as events require, and willingness to travel to external/public event locations
- Budget management skills with a cost-conscious approach to planning
- A collaborative team player who can also take initiative and work independently
- Enhanced criminal background check
- Detailed residential history for the last ten (10) years
- Details of at least two previous employers as referees which must be their two most recent employers, covering a minimum of four years of employment, or all of their employment if the candidate has less than four years of experience
