Job Summary
Plan, coordinate, and execute Trinity School events, admissions tours, and open houses across both campuses, managing timelines, budgets, vendors, volunteers, and day-of logistics for the annual gala, parent programs, and community gatherings. Oversee the year-round production of grade-level memory books, coordinating photo collections, content review, and distribution while maintaining organized documentation and reusable templates. Partner with enrollment and campus leaders to ensure tours accurately represent programs, gather family feedback, and communicate the school's mission persuasively. Maintain a comprehensive event calendar, track outcomes, and recommend process improvements to enhance future experiences. Work on-campus during active admissions periods, balancing hands-on setup and execution with administrative planning.
Required Qualifications
- Minimum of five years of professional event management experience
- Demonstrated experience independently managing events from initial planning through execution and evaluation
- Experience managing multiple timelines, budgets, vendors, volunteers, stakeholders, and competing priorities
- Strong project management, organizational, prioritization, documentation, and follow-through skills
- Excellent written, verbal, interpersonal, presentation, and family-facing communication skills
- Ability to understand and communicate an organization's mission, culture, program, and value clearly and persuasively
- Strong storytelling and relationship-building skills
- Warm, polished, professional, and service-oriented communication style
- Strong sense of presentation and attention to the guest experience, including materials, signage, displays, hospitality, accessibility, and visual details
- Ability to anticipate needs, solve problems, exercise sound judgment, and remain calm under pressure
- Ability to work independently while collaborating effectively across departments
- Strong technology skills, including Google Workspace, shared calendars, spreadsheets, databases, registration tools, and project management platforms
- Ability and willingness to learn new event, admissions, fundraising, communications, yearbook, and database systems
- Ability to handle confidential information and school purchasing responsibilities with discretion and integrity
- Ability to work a flexible schedule that may include early mornings, evenings, and weekends

- Regular on-campus presence

- The Manager must be able to move between campuses and event locations

Desired Qualifications
