Job Summary
Plan, coordinate, and execute university events, summer camps, and conferences by collaborating with departments, external clients, and campus partners. Manage logistics including catering, technology, parking, security, and setups while routing reservation requests to facility custodians. Monitor events for compliance with university policies regarding facility use, solicitations, alcohol, animals, and public expression. Prepare and execute Memorandums of Understanding and Facility Use Agreements for campus reservations and conference programs. Participate in weekly coordination meetings with service providers to confirm required services. Work outside normal business hours, including early mornings, evenings, nights, and weekends, as needed to support special events.
Required Qualifications
- High school diploma
- Two years of full-time experience directly related to the job functions
- Relevant experience in administrative support or event planning
- Experience operating a personal computer
- Proficiency with Microsoft Office (Word, Excel, PowerPoint and Outlook)
- Ability to work outside of normal business hours on occasion, including early mornings, evenings, nights and weekends to support special events as needed
Desired Qualifications
- Bachelor's degree from an accredited institution in Hospitality Management or closely related field
- Two years of full-time experience in event coordination and planning in a higher education setting
- Experience with CollegeNET 25Live
- Knowledge of basic accounting principles and practices
- Knowledge of or ability to learn 25Live scheduling software
- Proven ability to think strategically and approach challenges with creativity
- Demonstrated track record of reliability, meeting goals, and holding oneself accountable
- Strong interpersonal skills and experience working effectively across teams
- Excellent interpersonal, verbal and written communication skills
- Strong organizational skills and an ability to prioritize and complete simultaneous projects with minimal supervision
- Skill in editing documents for spelling and grammar
- Excellent customer service skills
- Exceptional event scheduling and coordination skills
- Ability to diffuse and respond professionally to stressful situations and difficult people
- Ability to interact in a professional manner with staff, faculty, students, and the community in a service-oriented environment
- Ability to think critically and make clear, well-reasoned and timely decisions
- Ability to anticipate and diffuse problems before they occur
