Job Summary
Coordinate campus event requests for non-academic spaces, managing high-volume scheduling, logistical setup, and vendor coordination from initial request through event completion. Serve as the primary liaison between organizers and campus partners including Facilities, IT Services, University Police, and Dining Services to ensure successful execution. Provide consultative guidance on event policies, maintain accurate information in 25Live and Localist/Concept3D systems, and train temporary staff on workflows. Evaluate requests for conflicts, recommend solutions, and support signature university events with on-site assistance. Work occasional early mornings, evenings, and weekends in a fast-paced environment.
Required Qualifications
- Bachelor's degree from a regionally accredited college or university in hospitality, event management, communications, business, marketing, or a related field
- Two (2) years of professional experience coordinating events, event operations, conference services, hospitality operations, or a related field
- master's degree in a related field and one (1) year of related professional experience
- Demonstrated ability to independently manage multiple concurrent projects, priorities, and deadlines in a fast-paced, customer-focused environment
- Strong organizational, critical thinking, and problem-solving skills with the ability to assess complex situations, exercise sound judgment, recommend practical solutions, and adapt to changing priorities
- Excellent written, verbal, and interpersonal communication skills with the ability to build collaborative relationships with diverse stakeholders
- Experience coordinating event logistics, facility scheduling, or operational workflows requiring attention to detail and accuracy
- Experience using business technology and software applications, including Microsoft Office Suite, and the ability to quickly learn specialized event management systems
- Ability to work independently while contributing effectively as part of a collaborative team
- Ability to work occasional early mornings, evenings, and weekends in support of university events
- Eligibility to work in the United States without sponsorship
Desired Qualifications
- One (1) or more years of professional experience coordinating events in a higher education, conference services, hospitality, or similarly complex environment
- Experience coordinating multiple concurrent events while balancing competing priorities, deadlines, and stakeholder needs
- Experience with facility scheduling, event logistics, and space coordination
- Experience using event management and scheduling systems such as 25Live, Localist/Concept3D, Social Tables, Asana, Canva, or similar platforms
- Knowledge of event management best practices, including logistical planning, room configurations, audio-visual coordination, vendor management, and customer service
- Experience collaborating with cross-functional teams and coordinating with multiple departments to successfully execute events
- Experience interpreting and applying organizational policies, procedures, and operational guidelines in support of event planning and execution
- Demonstrated ability to take initiative, exercise sound judgment, and proactively identify opportunities to improve processes and enhance the customer experience
