Job Summary
Lead the day-to-day management of estate planning matters and workflows for the Trusts & Estates Practice Group, coordinating deadlines, priorities, client communications, and deliverables across multiple cases. Oversee the preparation and quality control of wills, trusts, powers of attorney, and advance directives while supervising, training, and mentoring administrative staff. Serve as the key point of contact for clients, beneficiaries, financial advisors, and referral sources, managing new matter intake and closed-file processes including document scanning, indexing, and retention. Partner with billing and finance teams to resolve work-in-progress issues and ensure all matters remain organized, timely, and aligned with firm policies. Maintain strict confidentiality when handling sensitive client and financial information while identifying opportunities to improve processes and enhance the overall client experience.
Required Qualifications
- 5+ years of directly relevant trusts and estates law experience
- 2+ years of supervisory or management experience
- Strong understanding of wills, revocable and irrevocable trusts, powers of attorney, advance directives, and related estate planning documents
- Bachelor's degree required
Desired Qualifications
- Prior experience within a law firm trusts and estates practice strongly preferred
- Experience with a private bank trust department, trust company, family office, or wealth management environment is also valued
- Paralegal certificate or advanced degree is a plus
- Familiarity with legal billing software or CRM systems is a plus
- Professional, proactive, solutions-oriented approach with a strong commitment to client service
