Job Summary
Manage engineering documentation, contractor compliance, and procurement processes to ensure safe, compliant operations. Maintain engineering files, SharePoint records, and asset data while acting as the primary gatekeeper for contractor RAMS, risk assessments, and insurance documents. Raise purchase requisitions, track deliveries, and support engineering stores administration to ensure accurate stock levels and timely material supply. Prepare routine reports, support meeting minutes, and maintain CMMS data integrity for work orders and maintenance tasks. Coordinate with procurement, suppliers, and facilities teams to resolve invoice queries and support engineering audits.
Required Qualifications
- Proven administrative experience supporting a technical, operational or compliance-focused team
- Strong IT skills including Microsoft Office and document management systems
- Ability to manage multiple tasks, priorities and deadlines
- Experience maintaining structured records, logs or compliance-based documentation
- Confident communicating with external contractors and suppliers
- Highly organised and detail driven
- Strong communication and follow up skills
- Able to challenge and enforce compliance confidently
- Proactive and self managing
- Confidential, reliable and professional
Desired Qualifications
- Experience with CMMS or maintenance systems
- Knowledge of engineering terminology or environments
- Familiarity with basic purchasing or procurement processes
- Experience in facilities or engineering administration
- IOSH Working Safely course completion
