Job Summary
Oversee day-to-day document production and secretariat support services, ensuring timely, accurate completion aligned to client expectations. Manage workflows, quality standards, and team performance while acting as the primary onsite contact for the client. Supervise assignments, handle inquiries and escalations, and drive process improvements through stakeholder engagement and technology adoption. Prepare and coordinate executive and governance materials, including agenda support, formatting, version control, and distribution. Lead team development via onboarding, training, and mentoring, while maintaining high-quality outputs through rigorous QA/QC processes. Complete administrative reporting and maintain confidentiality of sensitive materials. Operate as a hands-on working supervisor providing direct production support as needed. Monday to Friday, 8:00am to 5:00pm. Salary $83,200 to $87,360/year. Onsite role.
Required Qualifications
- Bachelor's degree or equivalent experience
- 2+ years' supervisory experience, preferably within legal, banking, financial services, or large corporate environments
- 3+ years' experience in document production, word processing, or executive/secretariat support services preferred
- Advanced MS Office skills with ability to produce, format, and manage complex documents and presentations
- Strong grammar, editing, and proofreading skills
- Demonstrated ability to manager teams, drive performance, and foster a culture of quality and continuous improvement
- Strong client service and stakeholder management skills, with ability to engage effectively in executive-facing environments
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment
- Excellent written and verbal communication skills
- Detail-oriented with ability to handle sensitive and confidential information
- Self-motivated with sound judgment and decision-making capability
- Ability to operate as a hands-on, working supervisor supporting production as needed

Desired Qualifications
- 3+ years' experience in document production, word processing, or executive/secretariat support services preferred
- Experience with workflow tools and document technologies preferred
