Job Summary
Manage the full lifecycle of project documents, including creation, revision, approval, distribution, and archiving, ensuring strict version control and traceability for drawings, specifications, contracts, and reports. Act as the gatekeeper of the project's single source of truth by coordinating across engineering, construction, quality, and vendor teams to maintain compliance with internal policies, client requirements, and regulatory frameworks. Administer document management platforms like ACC and SharePoint, leading continuous improvements to digital filing structures, metadata rules, and audit trails while supporting onboarding and training for stakeholders. Prepare project documentation logs and registers for management and audits, ensuring alignment between design, construction, commissioning, and operations documentation during handover. Support internal and external audits by verifying documentation completeness and accuracy, working closely with Quality and HSE teams to integrate document control with broader project governance.
Required Qualifications
- Bachelor's degree or equivalent experience in Engineering, Project Management, or Administration
- 3–5 years of experience in document control or project administration, ideally in data center, construction, or infrastructure projects
- Strong knowledge of document management systems (DMS) such as ACC, SharePoint, others
- Solid understanding of design and construction documentation workflows
- Excellent attention to detail, organizational, and time management skills
- Proficiency in English and Portuguese (spoken and written)
- Experience working in mission-critical environments (data centers, energy, or industrial projects)
- Familiarity with ISO 9001 quality management systems and document control best practices
- Understanding BIM documentation processes and integrations with document control systems
- Ability to support cross-border teams and multi-vendor collaboration setups
