Job Summary
Lead and manage all records management and document control activities for federal projects and programs. Develop, implement, and maintain document control procedures, standards, and workflows to ensure compliance with company and client requirements. Establish and oversee document management systems, ensuring proper document storage, version control, retention, and retrieval practices. Direct and supervise document control personnel, providing guidance, training, and performance oversight. Coordinate administrative activities across project teams, ensuring efficient workload distribution and resource allocation. Review project documentation for completeness, accuracy, and compliance with contractual and regulatory requirements. Interface with project managers, technical staff, clients, subcontractors, vendors, and regulatory agencies regarding document control processes and deliverables. Monitor and manage document transmittals, correspondence logs, records inventories, and project closeout documentation. Identify process improvement opportunities and implement best practices to enhance document management efficiency and quality. Review and manage office invoices, budgets, and administrative expenditures related to document control operations. Support audits, quality assurance reviews, and records management compliance assessments. Resolve document control issues, administrative challenges, and workflow bottlenecks to maintain project schedules and deliverables.
Required Qualifications
- Bachelor's degree
- 6+ years of related document control, records management, or project administration experience
- demonstrated equivalency of experience and/or education
- in-person Day 1 onboarding at an AECOM office location
Desired Qualifications
- Bachelor's degree and 10+ years of document control, records management, or project administration experience supporting federal projects
- Experience supporting large-scale infrastructure, environmental, transportation, water, or facilities programs for federal agencies
- Advanced proficiency with electronic document management systems (EDMS), records management software, and Microsoft Office applications
- Demonstrated experience developing and implementing document control procedures and quality management processes
- Experience managing project budgets, invoices, and administrative reporting functions
- Knowledge of federal records retention requirements, quality assurance procedures, and contractual documentation standards
- Strong leadership, organizational, communication, and stakeholder management skills with the ability to coordinate across multiple project teams and locations
