Job Summary
Manage the flow of project documentation by receiving, reviewing, and logging incoming transmittals within the Electronic Document Management System. Establish document control procedures including numbering, revision control, and storage, while maintaining a Master Document Register for drawings, specifications, and plans. Distribute documents to stakeholders per the communication plan, archive records electronically, and scan paper documents to digital format. Monitor due dates to produce exception reports on late documentation and manage correspondence to ensure correct revisions and confidentiality. Collaborate with the project team and IT to facilitate vendor access to SharePoint and create standard templates for digital records.
Required Qualifications
- 5-10 years' experience in document control environment preferred
- Experience within Engineering environment
- Experience in EDMS development and implementation
- Fluent English, verbal and written
- Strong communication
- Computer skills: Email, PDF, MS Office – including Teams, Planner, and SharePoint
- Self-motivated, confident, and attention to detail
- Disciplined documentation and record-keeping skills
- Teamwork, interpersonal, and time management skills
- Able to prioritize and delegate tasks
- Flexibility and adaptability under adverse conditions
- Ability to show initiative, good judgment, and resourcefulness
