Job Summary

Complete patient registration and administrative tasks for MRI, Stetson, and Cohasset departments, including verifying demographics, obtaining consent signatures, and entering insurance and Mass Health Care Proxy data. Greet, escort, and assist patients with wheelchairs and directions while distributing required health information and ensuring HIPAA acknowledgments are signed. Coordinate exam bookings via the Meditech system, manage call-backs for return visits, and retrieve prior medical history and imaging studies. Maintain printer supplies, laundry, and forms while updating exam descriptions in computer systems. Operate under evening shifts from 2:00pm to 8:30pm, Monday through Wednesday, with a part-time budget of 18 hours.

Required Qualifications

  • Minimum of two years registration experience
  • Medical terminology
  • Computer experience
  • Strong telephone and interpersonal communication skills
  • Demonstrated skills in customer service
  • Insurance experience
  • High school diploma
  • Two (2) years of college
  • Must be able to lift or carry cases of forms
  • Must be able to start printers and embossing systems
  • Must be able to replace cartridges when needed
  • Must be able to operate equipment safely
  • Must be able to maintain a neat, organized work environment
  • Must be able to find material safety data sheets (MSDS) for items used to perform job
  • Must be able to successfully answer safety questions in annual mandatory education program
  • Must be able to understand individual roles/responsibilities during hospital codes (e.g., Code Green, Code Red)
  • Must be able to utilize proper body mechanics when performing all aspects of job
  • Must be able to understand Radiology Reports for purposes of scheduling and entering proper radiology exam
  • Must be able to understand coordination of benefits for insurance
  • Must be able to understand consolidated billing requirements
  • Must be able to understand fraud & abuse as it pertains to collecting insurance information
  • Must be able to understand the impact on hospital operation of data collected
  • Must be able to retain and understand complex information
  • Must be able to explain to patient about Mass Health Care Proxy
  • Must be able to understand protocols for booking exams
  • Must be able to use the Meditech scheduling system for appointment booking
  • Must be able to control booking activities
  • Must be able to perform ADT functions
  • Must be able to communicate with office staff, nursing staff and physicians in considerate, helpful and courteous manner
  • Must be able to instruct patient on preparation when applicable
  • Must be able to instruct patient to bring prior mammogram studies if study done at outside facility
  • Must be able to verify information and exams performed, using computer systems Meditech and Amicas and other logging methods
  • Must be able to update and change exam description to reflect actual exam performed
  • Must be able to make all necessary changes to an exam in the event of a missed or inaccurate entry
  • Must be able to make all necessary changes to the exam information in all computer systems to effect proper flow of correlated
  • Must be able to greet, receive and escort patients/visitors in friendly, caring and professional manner at all times
  • Must be able to provide wheelchair and assist patients/visitors when necessary
  • Must be able to push patient/visitor in wheelchair to designated areas
  • Must be able to ensure specified directions are given at all times
  • Must be able to acknowledge patient's departure in a professional manner
  • Must be able to offer all patients Health Care Proxy information
  • Must be able to assure Medicare patient, or his representative, is given Important Message to Medicare Patients
  • Must be able to offer information on Free Care
  • Must be able to assure all patients have signed HIPAA acknowledgement Form and offers copy of policy to patient or patient's representative
  • Must be able to obtain signature for hospital consent
  • Must be able to witness signatures by signing name, date and time on form
  • Must be able to ask all patients status of Massachusetts Health Care Proxy
  • Must be able to enter this information into the computer system and print on patient's face sheet for every service
  • Must be able to register and pre-register into the computer system from the Outpatient Scheduling System, or patient questionnaire
  • Must be able to print hospital outpatient registration forms
  • Must be able to obtain information from patient health insurance or managed care identification card
  • Must be able to verify insurances through Point of Services devises
  • Must be able to select insurance plan code and enters proper priority
  • Must be able to enter policy number, group number from insurance card and organization and all necessary telephone numbers
  • Must be able to obtain authorization from insurance carriers and enter on the treatment authorization field for reimbursement
  • Must be able to enter insurance name, address and telephone number on the insurance screen for billing and reimbursement
  • Must be able to enter all financial and reimbursement information in account notes
  • Must be able to update patient status in a timely manner to insure proper coding and billing
  • Must be able to write correct information on Patient Name Band, puts on wrist
  • Must be able to accurately select correct medical record number in the computer system from the PIDX identifying patients by name, birth date and Social Security number
  • Must be able to verify with patient all demographic information and conduct personal interview in a professional and timely manner
  • Must be able to understand all areas of the department, including MRI, Stetson and Cohasset Departments
  • Must be able to complete all registrations in a professional, accurate and customer-oriented manner
  • Must be able to embrace technological solutions to work processes and practices
