Job Summary
Coordinate office activities and communications for a District-level Director, screening callers and visitors while providing detailed information on policies and procedures. Manage the Director's calendar, schedule meetings, arrange travel, and prepare Board agenda items, memos, and correspondence. Assist with department budgets by entering data, reviewing invoices, and resolving financial discrepancies. Maintain complex personnel records, files, and confidential materials while operating office equipment and transcribing dictation. Train clerical personnel and compile statistical data for reports as assigned.
Required Qualifications
- high school diploma, G.E.D. Certificate or demonstrated progress toward obtaining a G.E.D.
- three years of increasingly responsible secretarial and clerical experience
- Modern office practices, procedures and equipment
- Applicable sections of Kentucky Administrative Regulations and other applicable laws
- District organization, operations, policies and objectives
- Organization, rules, regulations and programs related to an assigned office or function
- Operation of a computer terminal and data entry techniques
- Software applications used by the District, including word processing and spreadsheets
- Financial and statistical record-keeping techniques
- Basic budget monitoring and control
- Telephone techniques and etiquette
- Correct English usage, grammar, spelling, punctuation and vocabulary
- Interpersonal skills using tact, patience and courtesy
- Ability to perform advanced-level secretarial duties requiring independent judgment and analysis
- Ability to plan, organize and coordinate office activities and communications to relieve the Director of routine administrative and clerical details
- Ability to work independently with little direction
- Ability to type at an acceptable rate of speed
- Ability to analyze situations accurately and adopt an effective course of action
- Ability to compose independently or from oral instructions letters, memos, bulletins or other material
- Ability to read, interpret, apply and explain rules, regulations, policies and procedures
- Ability to maintain records and prepare reports
- Ability to communicate effectively both orally and in writing
- Ability to meet schedules and timelines
- Ability to add, subtract, multiply and divide quickly and accurately
- Ability to establish and maintain cooperative and effective working relationships with others
- Some positions in this class may be required to take and transcribe shorthand at an acceptable rate of speed
