Job Summary

Greet patients, manage phone communications, and schedule appointments while processing referrals and authorizations. Collect payments, maintain accurate dental records in the EDR and NextGen systems, and verify encounter codes for end-of-day reconciliation. Assist with sliding fee scale enrollment, submit insurance authorizations, and direct visitors to appropriate departments. Adhere to front desk and HIPAA policies, respond to emails twice daily, and support audits and grant data collection. This role ensures positive patient experiences and operational efficiency within Palms Medical Group's dental office, supporting a team that serves underserved populations across North Florida.

Required Qualifications

  • Must be organized, a self-starter and detailed oriented
  • Ability to work independently and as part of a team
  • Expected to travel and cover other sites during Dental Patient Advocate absences
  • Must be able to read and interpret written dental instructions
  • Must know how to efficiently operate NextGen
  • Must be able to navigate and operate Microsoft Office suite products, including Word, Excel and Teams
  • High School Diploma or Equivalent
  • Current BLS (basic life support) Certification
  • Must be able to effectively communicate complex and/or technical information to co-workers, patients and/or vendors
  • Must be able to stand for long periods of time
  • Must be able to sit for long periods of time
  • Must be able to view a computer monitor for long periods of time
  • Must be able to bend
  • Must be able to stretch / reach
  • Must be able to walk short distances
  • Must be able to lift up to 50 pounds
  • Must be able to operate office equipment (computer, fax machines, telephones and copy machines)
  • Must be able to read forms / Instructions / Patients Charts
  • Must be able to communicate well to people of various ages, educational levels, cultural backgrounds in person or by telephone
  • Must be able to utilize universal precaution in clinical or exposure situations as prescribed by federal state, and local guidelines and /or laws
