Job Summary

Coordinate administrative reporting, annual enterprise testing, and business continuity requirements for the U.S. Trust Company of Delaware team. Generate compliance reports, monitor due dates, and resolve complex client and party setup issues, including KYC escalations. Identify workflow bottlenecks and recommend process improvements to enhance operational efficiency. Partner with internal stakeholders to address administrative, operational, and metric initiatives.

Required Qualifications

  • High School Diploma / GED / Secondary School or equivalent
  • Thorough knowledge of the department or business units functional area or products
  • Working knowledge of general bank policies, programs and procedures and financial/accounting practices
  • In-depth knowledge of bank policies and programs and of the departments functional operations
  • Full management responsibility over a relatively large team
  • Ability to manage one or more levels of managers
  • Ability to lead the support/administrative functions for a somewhat large department
  • Ability to manage diverse administrative functions for a very large, complex department or for a complete line of business
  • Ability to consult with senior management in evaluating current methods and developing strategies to implement changes and improvements
  • Ability to resolve personnel, audit and/or budget issues by researching and analyzing unusual problems
  • Ability to administer bank programs and policies and provide interpretation to department
  • Ability to direct workflow activities
  • Ability to identify, recommend, and coordinate process improvements that would positively impact the USTDE team and enhance operational efficiency
  • Ability to partner with internal stakeholders, and other enterprise partners, to help resolve administrative, client and party setup, and related operational matters
  • Ability to assist the team in resolving complex client and party setup issues, including coordinating approvals for KYC escalations
  • Ability to stay informed about enterprise and Private Bank initiatives that may affect the USTDE team, share relevant updates, and help ensure USTDE has appropriate engagement and representation in impactful initiatives
  • Ability to assist the U.S. Trust Company of Delaware team with reporting on various administrative matters, including researching, coordinating, and helping resolve open administrative issues
  • Ability to assist the team with annual enterprise testing (e.g., ENACT, ATV) and Business Continuity requirements
  • Ability to generate reports (e.g., ARQ) to assist the team in managing its books of business in an efficient and compliant manner
  • Ability to monitor upcoming due dates and administrative tasks for the USTDE team, providing support as needed to help ensure timely completion
  • Ability to support various control, metric, and operational initiatives impacting USTDE, including Delaware distribution imaging, annual difficult-to-value mailings, providing investment fiduciary tax returns to investment advisors, continued asset ownership letters and monitoring additional contributions to Asset Protection Trusts
