Data Services Specialist (Production Associate)

Job Summary
Data Services Specialist role manages the operational and administrative workflows moving purchase orders from intake to shipment, coordinating PO details with factories, guiding payment workflows with Accounting, ensuring UPC and master carton compliance, and overseeing shipping setup with Freight Forwarders to support on-time product release and shipment execution. You will work cross-functionally with Planning, Accounting, factories, logistics partners, and global stakeholders to keep order, payment, and shipping workflows moving with minimal oversight. Requires a proactive, adaptable, self-directed approach, strong ownership, and ability to navigate ambiguity. Key duties include order intake and PO placement, financial coordination (Proforma Invoices and deposits), UPC/compliance tracking, shipping setup oversight, cross-functional execution, and continuous workflow improvement. Must have 3+ years of related experience, be highly organized, and proficient in Excel/Google Sheets; experience coordinating with international teams/vendors and familiarity with UPC/GS1 standards is a plus; remote-ready with ability to operate across time zones.
Required Qualifications
- 3+ years of experience in order management, operations coordination, or a related administrative role
- Strong organizational skills with high attention to detail
- Proficiency in Excel or Google Sheets for tracking and data management
- Experience working with multi-step operational processes involving multiple stakeholders
- Experience collaborating with international teams, vendors, manufacturers, or external operational partners across multiple regions
- Clear, professional written communication skills for internal and external follow-ups
- Familiarity with retail compliance, UPC setup, or GS1 standards is a plus
