Job Summary
Coordinate all aspects of the Homeowner Satisfaction process, including managing the Buildtopia system, processing service requests, and answering phone and email inquiries. Handle Field Directive Orders in JD Edwards, issue DocuSign contracts and change orders, and manage expense reports and invoice payments. Support the Senior Vice President of Homeowner Satisfaction and Construction departments by facilitating meetings, tracking temporary labor, and coordinating dumpster deliveries. Maintain organized homeowner files, distribute supplies, and interface with Accounting, HR, Sales, and Legal teams. Requires a high school diploma, one year of residential building industry experience, and proficiency in Microsoft Office and JD Edwards. Full-time role based in Seal Beach with transportation to all Olson Homes communities required.
Required Qualifications
- High School Diploma or equivalent
- Must be computer fluent
- Microsoft Windows Suite and Outlook required
- Must have transportation to all Olson Homes' communities and the Seal Beach office location
- If transportation is your own automobile, you must have a valid state approved driver's license and proof of automobile insurance
- Must be able to deal with stressful situations including but not limited to: Deadlines and Work Load, Homeowner Satisfaction
- Must be able to communicate, orally and in written form, desired objectives to: Supervisors, Homeowner Satisfaction Representatives, Construction Managers, Trade Partners
- Maintain a professional appearance
- Finger dexterity is required to operate a computer keyboard, telephone and calculator
Desired Qualifications
- One + years applicable Residential Building industry experience as administrative support staff preferred
- advanced Excel preferred
- JD Edwards and/or Buildtopia experience preferred
