Job Summary
Answer and route all incoming calls, web forms, portal messages, and emails while drafting engagement letters, status updates, and follow-up communications. Perform first-pass bookkeeping, data entry, and workpaper assembly for tax returns and financial statements, then track deadlines for returns, extensions, and payroll filings. Build trust with a small client portfolio by answering routine questions, gathering missing data, and escalating technical issues. Execute the Sales Playbook to identify upsell and cross-sell opportunities, while supporting hiring, onboarding, and performance feedback for junior staff. Maintain KPI dashboards for on-time delivery and sales pipeline metrics. This part-time role (15-30 hours/week) in Thousand Oaks, CA, offers a direct hire path to full Client Manager status with ongoing mentorship.
Required Qualifications
- 2+ years in client care and tax/accounting production
- Availability to dedicate at least 15 hours/week exclusively to Privity
- Part time within Mon- Fri8a.m.5 p.m. PT. Flexible scheduling; any deviation prearranged with Senior Client Manager or CEO

- Draft engagement letters, status updates, deliverable cover letters, and follow up emails in Privity's professional yet personable voice
- Perform first pass bookkeeping, data entry, and assembly of workpapers for tax returns and financial statements
- Track deadlines for returns, extensions, estimated taxes, payroll filings, and sales tax compliance; update task statuses in Liscio
- Maintain KPI dashboards for on time delivery and sales pipeline metrics
- Build trust with a small portfolio of clients answer routine questions, gather missing data, and escalate technical issues as needed
- Execute our Sales Playbook by identifying upsell / cross sell opportunities and nurturing warm prospects
- Support hiring, onboarding, and performance feedback for junior staff under guidance of the Senior Client Manager or CEO
- Demonstrate delegation, prioritization, and coaching skills with team members
- Suggest process enhancements and champion technology adoption to keep Privity on the leading edge
