Job Summary
Facility operations and administrative support responsibilities include coordinating repairs and maintenance for office equipment, maintaining records of maintenance activities and vendor contracts, conducting inspections for safety hazards, developing preventive maintenance schedules, coordinating janitorial and other facility-related services, acting as the primary regional contact for vendor services, assisting with space planning and office moves, managing seating arrangements and floor plans, coordinating with site leadership for new hire placement, managing parking permits, serving as receptionist or backup, managing inventory of office supplies, handling mail distribution, administering badge access and security-related tasks, supporting records governance initiatives, and maintaining internal office location information.
Required Qualifications
- High school diploma or equivalent
- Some experience providing specialized administrative support
- Proficiency in Microsoft Office Suite (Word, Excel, Power Point), voicemail, email, and Outlook calendar
- Proficiency in English, written and spoken
- Ability to tactfully and effectively work with all levels of employees and maintain confidentiality
- Highly effective verbal, written, interpersonal, and team-oriented skills
- Ability to organize and prioritize work to meet aggressive deadlines
