Job Summary

Greet staff and direct them to appropriate HR team members for benefits, employee relations, and other inquiries. Maintain employee files, conduct quarterly audits, and manage records by scanning, copying, and updating the HR standard operating procedure manual. Support the VP of HR with presentations and act as a liaison for confidential information. Streamline the onboarding process by verifying I-9 documentation, entering demographic data into the HRIS, and leading new hire orientations. Assist with recruiting, including posting openings, interviewing candidates, and conducting exit interviews. Serve as a backup for benefits administration by troubleshooting issues, running UltiPro reports for invoice reconciliation, and assisting with open enrollment and dive physicals. Protect confidential information and lead special projects as requested by leadership.

Required Qualifications

  • Ability to type and design general correspondences, memos, charts, tables, graphs, plans, etc.
  • Proofreading skills for spelling, grammar, and layout
  • Ability to scan documents, produce, and copy
  • Ability to compile and submit documentation
  • Ability to monitor and maintain HR standard operating procedure manual
  • Ability to keep final copy of procedures updated
  • Ability to type out new procedures in existing formats
  • Ability to compile and distribute notes for HR meetings
  • Ability to keep track of regulatory changes
  • Ability to make recommendations for revisions/updates to I-9, G-4, W-4, etc.
  • Ability to conduct verification of employment
  • Ability to maintain and order office and other departmental supplies and inventories
  • Ability to make purchases as requested by staff
  • Ability to streamline and oversee the entire onboarding process for all new hires
  • Ability to serve as point of contact for new hire orientation
  • Ability to communicate with all teams in preparation for all new hires
  • Ability to verify completion of paperwork and signatures
  • Ability to ensure I-9 documentation is accurate
  • Ability to run reports in UltiPro
  • Ability to assist with invoice reconciliation and benefits administration
  • Ability to assist departments with dive physicals
  • Ability to conduct background screens for transport
  • Ability to handle CDL holders
  • Ability to set up Lunch & Learns sessions for 401(k), Open Enrollment, Legal Shield, etc.
  • Ability to protect confidential and proprietary organizational information
  • Ability to assist or lead HR special projects as requested by Leadership
  • Ability to attend departmental and organizational meetings as required
  • Ability to maintain Fishnet 2.0, The Reef, HR Agent, etc.
