Job Summary

Coordinate operational tasks including meetings, calendar management, and promotional inventory tracking to ensure projects stay on schedule. Gather and coordinate content from internal and external sources for communications, outreach, and presentations while proofreading materials and updating databases. Lead the outreach and enrollment process for the Green Leader program, processing enrollments, analyzing data, and communicating status updates to customers. Provide end-to-end event support, from venue research and speaker coordination to setup, teardown, and post-event reporting. Manage contract development and distribution, track timelines, and maintain operational procedures and records for the Communications and Marketing team.

Required Qualifications

  • Highly proficient with Microsoft Office Suite, particularly PowerPoint
  • Advanced knowledge of Excel
  • Ability to act with integrity, professionalism, and confidentiality
  • Ability to fully own tasks and processes with minimal oversight
  • Ability to handle multiple priorities to meet deadlines and escalate key issues
  • Excellent organizational, scheduling, and time management skills
  • Attention to detail and accuracy
  • Ability to work independently on larger, moderately complex projects/assignments
  • Proficient with data visualization tools, or related software (i.e. Tableau)
  • Bachelor's degree
  • Minimum of 2-4 years relevant experience in communications, administration, or project management
  • Experience in an organization's communications environment
  • Must be able to work at a desk and on a computer for prolonged periods
  • Hybrid or Remote options (Hybrid requires attendance in Downtown Los Angeles office on a full-time basis 2-3 days per week)
  • Remote option requires availability to attend full-time in office days and/or field events within Los Angeles and Ventura Counties
  • Full-time in-person attendance at organization or team-wide events 3 times per year for 3-5 days per event
  • Work during CPA's office hours Monday-Friday 8:30am-5:30pm PST

Desired Qualifications

  • Administrative experience with large teams/departments preferred
  • Utilize approved technology and AI tools, as appropriate, to improve efficiency, streamline work processes, and support effective job performance in accordance with CPA guidelines (preferred)
