Job Summary
Collaborate with the Planning & Mission Effectiveness team to support pastoral and strategic planning initiatives across parishes, schools, and Catholic charitable ministries in western Washington. Manage general administrative operations for the Director, Parish Liaisons, and team members, including inbound communications, document preparation, file management, supply purchasing, and calendar coordination. Coordinate meeting logistics, stakeholder communications, and work tracking for department-led initiatives, while drafting, editing, and reviewing official written materials such as reports, presentations, and communications. Provide staff and administrative support for councils and committees by scheduling meetings, coordinating event logistics, recording minutes, and managing technology for virtual and in-person events. Support data collection management, validation processes, and basic reporting using Microsoft Excel, MissionInsite, and ParishStaq. Assist with basic financial processes, including processing invoices, mileage requests, and vendor coordination. Work full-time in-office at the Archdiocesan Chancery with availability for occasional weekend event support.
Required Qualifications
- Willingness and ability to support the mission of the Church by extending the ministry of the Archbishop.
- Ability and desire to use God-given gifts and talents in service of the local Church in support of the collaboration between lay and ordained Ministers.
- Willingness to conduct all interactions on behalf of the Archbishop's Communications with respect and Christian charity.
- At least 2 years' experience as an administrative assistant, coordinator, or similar role.
- Proficient in web conference call platforms (e.g., Zoom) and MS Office tools (Teams, SharePoint, Word, Excel, Power Point, and Access).
- Experience with budgets and financial operations.
- Experience working on cross-functional teams.
- Experiencing proofreading/copy-editing presentations and written reports.
- Excellent communications skills.
- Ability to maintain high standards of confidentiality.
- Ability to work with various personalities and within various contexts in a consistently professional manner.
- Excellent organizational skills, time management skills, and attention to detail.
- Relationship and service driven, eager to connect and assist others.
- Self-starter, able to consider issues and come to reasonable solutions independently.
- Available to work full-time in-office at the Archdiocesan Chancery.
- Availability for occasional weekend event support.
Desired Qualifications
- Bachelor of Arts or Science degree preferred.
- Bilingual competencies (particularly Spanish/Vietnamese) and/or experience working across multiple cultures are a plus.
