Job Summary
Enter timesheets, process expenses, and maintain document controls while implementing inventory procedures to manage ordering, returns, and stock levels. Coordinate vendor relations, process invoices and purchase orders, and assist in proposal preparation and change order documentation. Maintain customer inventory control systems, monitor inventory losses, and support loss-prevention initiatives. Prepare reports to ensure compliance with health, safety, and regulatory standards, and schedule facility usage and vendor services. Monitor work order compliance through the CMMS system, track subcontractor purchase orders, and liaise with legal for approvals. Maintain electronic and manual databases, mailing lists, and inventories, while supporting audits and inspections by organizing required documentation. Coordinate internal communications and respond to facility-related inquiries.
Required Qualifications
- High School Diploma
- 5 years in an office environment in an administrative role
- 1-2 years of experience in inventory control or equivalent
- Valid Ontario "G" Driver's License
- Proficient user of MS Office (Word, Excel, Project)
- Proficient knowledge and understanding of Organization and time management
- Ability to Work well under pressure
- Ability to Meet all deadlines
- Ability to multitask
Desired Qualifications
- Degree or Diploma in Office Administration or related
- Experience in the construction sector
- Proficient user of JD Edwards or an Oracle-based ERP system
- Knowledge of an Inventory Management Software (WASP, Fishbowl, or inflow, etc.)
