Job Summary
Transition preconstruction projects to implementation and enter all project data, including budgets, contract amounts, and schedules of values, into Viewpoint. Request performance bonds, certificates of insurance, and preliminary notices while tracking follow-ups, and assist in developing project schedules of values and monthly billings. Prepare subcontract and purchase agreements, manage change orders and submittals, and coordinate with accounting on accounts receivable and vendor communications. Manage compliance with federal and CA prevailing wage regulations and prepare O&M manuals at project completion. Requires two years of project coordination experience in commercial construction or HVAC, knowledge of bookkeeping principles, and ability to manage multiple overlapping deadlines. May require up to 5% travel.
Required Qualifications
- High school diploma or general education degree (GED)
- Two to five years' related experience and/or training
- Two years of project assistance, project coordination, administrative assistant or closely related experience in commercial construction, HVAC, or related field
- Knowledge of the principles of file and records management
- Knowledge of the basic principles of bookkeeping and/or accounting
- Knowledge (Intermediate to advanced) of various operating systems, software products (e.g. MS Office, etc.)
- Ability to work independently and efficiently manage time / workload
- Ability to simultaneously manage multiple projects with overlapping deadlines, deliverables, and other requirements
- Ability to establish and maintain effective working relations with co-workers, vendors, customers, and the general public
- Ability to effectively respond to common inquiries or complaints from customers and staff
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
- Ability to define problems, collect data, establish facts, and draw valid conclusions
- Ability to prioritize tasks and tactfully negotiate priority with end users
- Ability to work under deadline pressure and extra hours if needed
- Knowledge of Veregy's services and processes
- Currently authorized to work in the United States on a full-time basis
Desired Qualifications
- Professional certification such as CFA/CPA
