Job Summary
Immediate Mailing Services, Inc. seeks a Compliance & Administrative Coordinator to manage front office duties and Compliance department activities. Responsibilities include greeting visitors, answering phones, handling communications professionally, supporting document tracking and audit preparation, onboarding/offboarding coordination with HR and IT, maintaining visitor logs and sensitive files, coordinating meetings and calendars, providing general office support, and identifying process improvements for administrative and compliance workflows. Strong organizational skills, ability to handle confidential information, excellent verbal/written communication, and proficiency with Microsoft Office are essential; experience with compliance documentation, onboarding, or regulated environments is a plus. Minimum qualifications include a high school diploma or equivalent; 2+ years of relevant experience preferred. The role is full-time and located in Liverpool, NY, with standard business hours and potential escalation support as needed.
