Job Summary
Respond promptly to inbound calls, messages, emails, and other communications while coordinating non-emergency medical transportation services. Communicate clearly with clients, healthcare staff, Transporters, and internal teams to manage trip progress, locations, and service efficiency. Monitor dispatch systems and GPS tracking, create and adjust routes, and update reservations to ensure accuracy. Proactively communicate delays, route changes, and service updates, escalating coverage gaps as needed. Accurately document trip details, client requests, and service activity, ensuring compliance with company policies, safety standards, and HIPAA. Collaborate with Transporters and healthcare staff to ensure timely service and clear communication of ETAs. Identify and document service issues, including delays, cancellations, and incidents, in a timely manner. Utilize dispatch software to manage trips from initiation through completion, including end-of-shift reconciliation and board cleanup. Maintain awareness of operational priorities, service levels, and performance expectations throughout the shift.
Required Qualifications
- High school diploma or equivalent
- 2+ years of relevant experience in dispatch, call center, or high-volume customer service environments
- Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and Teams
- Ability to communicate effectively in English, both verbally and in writing, including speaking, hearing, and exchanging information via phone and electronic systems
- Ability to maintain confidentiality and handle sensitive information, including compliance with HIPAA and company policies
