Club Services Coordinator

Job Summary
Provide administrative and operational support to the Club Services Department, including insurance administration, policy documentation, and fleet coordination; manage collections for delinquent memberships and program fees; maintain records, support vendor coordination, and reporting on revenue trends; assist families with account issues by offering guidance on status, payment options, and available scholarships; collaborate with Club Directors and front-line staff to ensure consistent account management practices across sites; handle confidential family, financial, and organizational information with discretion; perform other duties to support the Club Services department; strong organizational, customer service, and communication skills essential; requires background checks and ability to work in an office environment with occasional site visits.
Required Qualifications
- Associate’s degree in business administration, office management, or a related field required; bachelor’s degree preferred.
- Minimum of two (2) years of experience in an administrative, operations, or customer service role.
- Experience handling billing, collections, or account management, preferably in a nonprofit, healthcare, or service organization setting.
- Demonstrated ability to communicate with families or customers in a professional, empathetic, and solution-oriented manner regarding sensitive financial matters.
- Experience with insurance administration, fleet coordination, or records management a plus.
- Strong proficiency in Microsoft Office Suite; experience with membership management or billing software preferred.
- Excellent organizational skills and attention to detail with a high degree of accuracy in data entry and record-keeping.
- Ability to pass all required background checks and clearances.
