Clinical Office Assistant (On-Call)

Job Summary
Greet visitors, register patients in the electronic system, and verify program eligibility to determine source of payment. Collect payments, operate the cash register, and resolve patient complaints or escalate as needed. Schedule, confirm, and process appointments while answering telephone inquiries and routing calls appropriately. Perform general office duties including sorting mail, filing, photocopying, and retrieving data into the medical records system. Inventory stock, order supplies, and assist patients in completing forms using standard office equipment. Participate in huddles, staff meetings, and team building activities while adhering to ethical standards and completing required trainings. Work independently and collaboratively in a fast-paced environment, maintaining strict confidentiality and demonstrating flexibility across cultures.
Required Qualifications
- High school diploma/equivalent
- 1-2 years of experience in a clinical or similar professional office setting
- Meet all health clearances required for healthcare settings
- Knowledge of basic medical/dental terminology and office procedures and processes
- Effective approaches to customer service delivery
- Modern medical office and computer systems and applications, especially MS Word, Outlook
- Demonstrated good judgment in identifying effective solutions or approaches to customer service related problems
- Ability to maintain strict confidentiality regarding patient information
- Clear and effective written and verbal communication skills in English
- Ability to follow oral and written instructions
- Ability to perform arithmetic calculations
- Minimum typing speed of 25-30 wpm
- Self-motivated and able to work independently as well as collectively to complete daily tasks
- Ability to perform detailed administrative work methodically with speed and accuracy
- Demonstrate flexibility and ability to accept changes gracefully
- Ability to work professionally and collaboratively in team environment
- Ability to work across cultures and demonstrate support of diversity, equity and inclusion
- Ability to participate with other staff in Saturday and evening rotation
Desired Qualifications
- Knowledge of Electronic Health Records and Electronic Practice Management systems preferred
- Medical Office Assistant Certification preferred
- Bilingual in English and Spanish preferred (or Specify Language)
