Job Summary

Welcome clients and their pets with warmth, professionalism, and compassion while serving as the primary point of contact for inquiries in person and by phone. Answer incoming calls, identify routine concerns, and recognize situations requiring urgent attention. Schedule and coordinate appointments, check clients in and out, and enter accurate client, patient, and financial information into the system. Prepare invoices, process payments, and maintain complete medical records while documenting all communications clearly. Coordinate information between clients and the medical team, manage expectations during busy periods, and support the daily flow of the hospital. Assist with general administrative responsibilities and maintain confidentiality of all data. Work four 10-hour shifts per week including Saturdays.

Required Qualifications

  • Availability to work Saturdays as part of the regular schedule
  • Strong organizational and time-management skills
  • Excellent telephone and in-person communication abilities
  • Strong attention to detail and accurate data-entry habits
  • Confidence managing multiple calls, appointments, and competing priorities
  • The ability to recognize potential emergencies and escalate concerns appropriately
  • Comfort discussing invoices, charges, services, and hospital policies with clients
  • Strong problem-solving and client service skills
  • The confidence to take initiative and follow through on responsibilities
  • A self-motivated and enthusiastic work style
  • Leadership potential and a willingness to support team development
  • A positive attitude and willingness to work collaboratively

Desired Qualifications

  • One year of veterinary client service experience is preferred but not required
  • Previous customer service, reception, healthcare, or hospitality experience is helpful
  • A friendly, professional, and compassionate approach
  • The ability to remain calm and organized in a fast-paced environment
  • Compassion for clients and an understanding of the stress families may experience when their pets need care
  • An interest in continued professional growth
