Job Summary
Provide frontline client service by handling inquiries via phone and walk-in visits, route calls to proper departments, and offer office-administration support to the local partner and staff. Responsibilities include scheduling meetings, processing invoices/payments, calendar management, mail and courier handling, maintaining front desk and reception, setting up training rooms and events, ensuring nightly security for the office, and supporting document preparation, electronic filing, and shared inbox management. Requires strong organization, confidentiality, professional communication, and proficiency with Microsoft Office; flexibility for overtime and a positive, collaborative approach in a people-first environment.
Required Qualifications
- Experience in a professional reception role and general administrative duties is advantageous
- A Business Diploma, Office Administration course or similar is highly regarded
- Ability to stay organized within a busy work environment
- Ability to support high level management demands with a strong attention to detail
- Deadline and detail-oriented with the ability to work independently
- Excellent communication and interpersonal skills
- Professional demeanor
- Proficiency with Microsoft Office Suite
- Flexibility to work hours and overtime as needed
