Job Summary

Prepare comprehensive agendas for client review appointments, coordinate pre-meeting data gathering, and document outcomes to ensure post-meeting tasks are completed. Execute and process client transactions within the Orion platform, including account maintenance, fee billing, and reporting, while maintaining accurate, up-to-date account data. Manage the advisor's calendar, resolve scheduling conflicts, and coordinate across time zones to ensure timely client touchpoints. Serve as the primary point of contact for client service requests, coordinate with custodians and third-party providers, and oversee compliance-related paperwork. Draft polished client-facing correspondence and represent the firm's brand across all communications. This on-site role supports the operational backbone of the firm's generational wealth transfer and investment management practice, utilizing Salesforce CRM and eMoney financial planning software.

Required Qualifications

  • Minimum of 5 years in financial services, with direct experience in wealth management or financial planning operations
  • Demonstrated expertise with Salesforce CRM
  • Proficiency with Orion portfolio management platform
  • Working knowledge of eMoney financial planning software
  • Proven calendar management and organizational skills
  • Exceptional attention to detail and task management abilities
  • Outstanding written and verbal communication skills
  • Comfortable communicating with clients via phone, email, and Microsoft Teams video calls
  • Professional and personable demeanor, instilling client confidence
  • High level of discretion and integrity handling sensitive financial information
  • Collaborative team player, contributing to a positive firm culture
  • Series 65 or other relevant FINRA/state licensing preferred, or ability to obtain within 6 months of hire
  • Experience in a fee-based RIA or independent wealth management environment
  • Bachelor's degree in Finance, Business Administration, or a related field (or equivalent experience)

Desired Qualifications

  • Familiarity with additional financial planning and custodial platforms a plus
