Job Summary

Client Relations Specialist (Spec II, CX Operations) provides support for all functions within the Client Relations department with a primary focus on new dealer agreements and submissions, and support roles for the Client Relations Managers. Acts as the “GO TO PERSON” for concerns, issues, and direction for everything pertaining to sales while maintaining the company’s philosophies. Responsibilities include assisting with responses to agency inquiries, pre-filling Protective and Vendor agreements, managing DocuSign executions, creating dealer checklists for new setups/changes, tracking submitted agreements, updating dealer information in systems, coordinating licensing paperwork, supporting the Dispatcher, documenting processes, and ensuring KPIs are met. Requires strong communication, problem-solving, process documentation, and the ability to work in a hybrid schedule (home on Mondays, Thursdays, Fridays; onsite Tuesdays and Wednesdays at the Lake Forest, CA office).

Required Qualifications

  • High School diploma or equivalent
  • 2+ years’ experience in an automotive sales or administration related environment
  • Preferred experience with a CRM Tool or Sales Force
  • Experience in call center environment utilizing a phone system
  • Proficient in Microsoft Office products such as DocuSign, Outlook, Word, Excel, and PowerPoint
  • Ability to learn and utilize proprietary software and navigate databases
  • Willingness to work beyond normal scheduled hours, as necessary
  • Excellent customer service skills
  • A strong sense of urgency and a desire to succeed
  • Strong analytical and problem-solving skills
  • Well-developed organizational skills and the ability to successfully manage multiple issues and demands
  • Extreme attention to detail and quality of service to the clients
  • Ability to think independently and provide useful and constructive feedback

Desired Qualifications

  • 2+ years’ experience in automotive sales or administration related environment
  • CRM Tool experience (preferred) such as Salesforce
  • Proficiency with Microsoft Office (DocuSign, Outlook, Word, Excel, PowerPoint)
  • Excellent communication skills (verbal and written)
  • Strong customer service skills
  • Ability to manage multiple issues and deadlines
  • Attention to detail and data accuracy
  • Willingness to work beyond normal hours as necessary
