Job Summary
Act as a liaison for executives and senior experts, coordinating meetings, planning agendas, and organizing materials while managing diary ownership and travel logistics. Handle incoming enquiries, draft correspondence, prepare reports and presentations, and coordinate valuations and consignments. Monitor expenses, process invoices, and manage post-sale shipping, ensuring executives are fully prepared for all pitches and client interactions. Serve as the "eyes and ears" for key art fairs, events, and internal updates, partnering with other assistants to provide coverage. Requires a Bachelor's degree, strong organizational skills, and flexibility for evenings and weekends.
Required Qualifications
- Bachelor's Degree
- Some experience in an Executive Assistant role, or role with similar responsibilities
- An awareness and interest in the Art market and Sotheby's
- A desire to learn about business development and strategy
- Strong multi-tasking and prioritization skills
- A fastidious attention to detail, accuracy and organization
- Skillful ability to interact in a professional, mature and collaborative style with key constituents
- Ability to show good judgement and represent the Sotheby's brand and core competencies
- Excellent written communication and analytical skills
- Experience in drafting reports and presentations
- Experience in responding to correspondence
- Strong experience in Outlook
- Strong experience in Word
- Strong experience in Excel
- Strong experience in PowerPoint
- Flexibility to work some evenings and weekends when necessary
