Job Summary

The Client Coordinator handles inquiries from clients and representatives, performs data entry, data tracking, and documentation, maintains QA workflow, coordinates with providers, files cases, and ensures compliance with state and federal regulations. Responsibilities include responding to inquiries, entering and retrieving information in databases, maintaining daily QA communications, contacting providers, filing open/closed cases, ensuring data accuracy and adherence to guidelines, working independently and with the team, directing calls, performing clerical duties (typing, emailing, proofreading), assisting in resolution of customer complaints and quality assurance issues, notifying management of report issues, and following company policies and procedures. Requires strong communication, ability to follow instructions, confidentiality, and ability to work under pressure; proficient in Word, Outlook, Excel; HIPAA compliance emphasized.

Required Qualifications

  • High school diploma or equivalent required; minimum one year clerical experience; or equivalent combination of education and experience preferred; experience in a medical office or insurance industry preferred.
  • Must possess complete knowledge of general computer, fax, copier, scanner, and telephone.
  • Must be knowledgeable of multiple software programs, including Microsoft Word, Outlook, Excel, and the Internet.
  • Must have ability to be trained on and adhere to HIPAA regulations and compliance standards.
  • Must be a qualified typist with a minimum of 40 WPM.
