Client Administrator Coordinator

Job Summary
Manage the end-to-end client onboarding and offboarding process, ensuring a seamless experience for clients and internal stakeholders. Coordinate communications between clients, partners, managers, and external advisors while preparing engagement and disengagement documentation in line with firm policies. Complete client acceptance, AML/CTF, identity verification, conflict checks, and other compliance requirements, identifying and escalating risks where required. Set up, maintain, transfer, and archive client records within practice management systems, ensuring billing, entity, and ASIC information remains accurate. Monitor outstanding documentation, follow up with clients, and liaise with finance teams regarding billing and final account reconciliation. Provide regular status updates and reporting to stakeholders. Requires significant experience in corporate secretarial or compliance roles with understanding of ASIC and AML/CTF legislation.
Required Qualifications
- Completion of Year 12
- Significant experience in a corporate secretarial, corporate governance or compliance role
- Administrative or client service experience
- Understanding of the Corporations Act, ASIC and Trust requirements
- Understanding of AML/CTF compliance and legislation
- Highly organised and collaborative, with the ability to manage competing priorities and work autonomously in a fast-paced environment
- Excellent communication and stakeholder management skills
- High attention to detail, accuracy, and confidentiality
- Excellent organisational skills with a high level of ownership and accountability
- Confident written and verbal communicator
- Experience with Xero, MYOB, APS or XPM and CAS360
- Understanding of ATO online services and public practice workflows
