Job Summary
Register patients in the computerized admission/discharge/transfer system, processing preadmissions, admissions, and discharges while maintaining bed availability lists and coordinating with nursing and physician personnel. Interview patients and family members to collect demographic and payment information, assign healthcare numbers, and manage medication profiles. Handle payments for non-resident and self-pay charges, issue receipts, and process patient transfers to other facilities. Maintain patient files, respond to visitor requests, escort patients to treatment areas, and perform related clerical duties such as answering phones and photocopying documents. Follow quality assurance procedures by reviewing and editing patient data, and perform assigned tasks including assisting with body releases and managing stationery supplies.
Required Qualifications
- Grade 12
- two years' recent, related experience
- equivalent combination of education, training and experience
- Ability to keyboard at 40 w.p.m.
- Knowledge of medical terminology
- Ability to communicate effectively both verbally and in writing
- Ability to deal with others effectively
- Physical ability to carry out the duties of the position

- Ability to interview patients, relatives and/or family to obtain registration information
- Ability to register patient in the computerized admission/discharge/transfer system
- Ability to process preadmissions
- Ability to complete and print registration forms related to the documentation of patients
- Ability to obtain signatures as appropriate
- Ability to prepare and apply identity bands to patients
- Ability to access HealthNet or PharmNet as required
- Ability to determine the patient's healthcare number (PHN) or assign a new PHN
- Ability to print patient medication profile if required
- Ability to search other databases as required
- Ability to receive payments for non-resident and self-pay charges
- Ability to issue receipts
- Ability to explain hospital policy regarding deposits and room differentials
- Ability to explain forms and provide information on admission process to patients as required
- Ability to print, review and/or maintain list of available beds
- Ability to compare patient information to available beds
- Ability to provide available bed options to appropriate clinical staff
- Ability to liaise with and/or receive information from nursing/physician personnel on unit regarding bed assignment
- Ability to enter site approved bed assignment in bed booking roster
- Ability to receive calls and request forms regarding patient transfers to and from other health care facilities, physicians, Air Ambulance, Patient Transport network
- Ability to refer caller to appropriate facility as per demographics
- Ability to refer request to appropriate personnel
- Ability to maintain and print a variety of files such as Priority Medical Admission, Medical Admissions, Surgical admissions, bed statistics, patient cancellations and add ons
- Ability to respond to patient and visitor requests for information and directions in accordance with department standards
- Ability to receive and record patient valuables for safekeeping if required at assigned site
- Ability to escort patients or arrange to have patients escorted to nursing units/treatment areas when needed
- Ability to follow established quality assurance procedures by reviewing and editing patient data
- Ability to produce audit reports as required
- Ability to call in relief staff (sick calls) after hours, if required at site
- Ability to notify appropriate personnel of various alarms at the assigned site
- Ability to perform related admitting clerical duties such as booking outpatient appointments as required
- Ability to answer phones
- Ability to give directions
- Ability to photocopy and distribute various documents
- Ability to assist the Supervisor or designate with the release of bodies if applicable
- Ability to verify paperwork
- Ability to notify the Supervisor or designate of paperwork deficiencies
- Ability to record deaths in the Death (Vital Statistics) Register
- Ability to enter patient departure from the morgue into the admissions/discharge/transfer system
- Ability to maintain sufficient levels of stationery supplies for the department as assigned
- Ability to check stock on hand
- Ability to complete internal requisitions
- Ability to forward to designated supervisor for approval
- Ability to demonstrate own work procedures to co-workers and students
- Testing may be required
- A criminal record check may be required
