Job Summary
Greet patients and visitors while registering, updating demographics, and scheduling appointments. Record arrivals, distribute messages, and maintain patient confidentiality. Manage billing by collecting co-pays, processing charges, and balancing cash drawers. Assist the Practice Manager with accounts payable invoices, office supplies, and daily close-out tasks. Travel to all outpatient clinics as part of the float pool. Maintain the orderly reception area and handle faxes and telephone answering. Requires high school graduation with preferred medical office experience.
Required Qualifications
- High school graduate
- Travel to all outpatient clinics
- Adhere to each practice's departmental policies and procedures
- Front-line patient contact capability
- Patient registration and updating of patient demographic and insurance information
- Scheduling/rescheduling/canceling patient appointments
- Recording arrival of patients into the waiting room
- Recording work-in patients on the schedule
- Timely and accurate message recording and distribution
- Updating patient records
- Printing and distributing the patient schedule
- Printing patient encounter forms
- Receiving and distributing faxes
- Answering service management (placing telephones on/off)
- Maintaining the orderly appearance of the patient reception area
- Maintaining patient confidentiality
- Knowledge of check-out
- Entering of patient charges
- Collection of co-pay and deductible amounts
- Collection of outstanding patient balances
- Performing the daily close-out of billing system
- Writing the daily bank deposit
- Daily balancing of the cash drawer
- Mail sorting and distribution
- Assisting in the timely preparation of accounts payable invoices
- Assisting in maintaining office supplies and identifying needed supplies
Desired Qualifications
- Training as a Medical Assistant or Medical Secretary
- 2-5 years of medical office experience
- General office experience
- Excellent customer service skills
- Ability to learn medical terminology and patient confidentiality issues
- Skilled in the techniques of patient relations and dealing with difficult people
- Efficiency in the processing and registration of patients
- Strong organizational skills
- Ability to multi-task in a fast paced environment
- Professional telephone etiquette
- Basic computer skills and knowledge
