Job Summary
Coordinate all aspects of private charter flights, including scheduling, aircraft availability, crew logistics, catering, ground transportation, and special client requests. Serve as the primary liaison between clients, operators, vendors, and internal departments to ensure clear communication and successful trip execution. Manage a high volume of inbound and outbound phone calls while maintaining professionalism and efficiency. Provide exceptional customer service, prepare and review trip documentation for accuracy and compliance, monitor active trips, and address operational changes. Support billing processes and post-flight reporting, and collaborate with team members to improve processes and the client experience. In-office role with training shifts followed by Friday–Sunday 7am–7pm, with potential additional shifts.
Required Qualifications
- High school diploma or general education degree (GED) required.
- Minimum 5 years of previous administrative experience or aviation experience in an operations department or pilot.
- Must be able to obtain a security clearance.
- Excellent interpersonal, verbal, and written communication skills.
- Exceptional customer service abilities.
- Strong organizational skills with a high level of attention to detail.
- Detail-oriented with proven follow-up skills.
- Ability to work effectively in a busy, fast-paced environment.
- Comfortable handling a high volume of phone calls and remaining on the phone for extended periods.
- Ability to multitask and prioritize competing demands.
- Strong problem-solving skills with the ability to think quickly under pressure.
