Job Summary
Maintain accurate safety, certification, medical, and training records for Officers and Crew, ensuring compliance with maritime regulatory requirements. Enter and manage all STCW Safety Certification data, national seafarer medical records, and Bahamian Maritime Authority endorsement applications for Marine and Engineering Officers. Process professional training forms, reconcile training costs charged to the Disney Cruise Line UK Office CTA card, and handle discharge certificates requiring external endorsement. Submit shoreside assignment requests and assist with general administrative support, including travel arrangements and expense accounts. This fixed-term role based in London Hammersmith involves 4 days onsite with one day working from home, running until September 2027. You will contribute to operational excellence within Disney Signature Experiences, supporting unforgettable experiences for guests and crew.
Required Qualifications
- Experience managing administrative processes and maintaining accurate records in a professional environment
- Strong written and verbal communication skills for local and international coordination
- Demonstrated proficiency with Excel, Word, PowerPoint, SharePoint, and HR systems
- Organized with strong attention to detail and accuracy, including excellent follow-through on tasks
- Ability to be flexible, proactive, highly organized, and able to easily shift priorities
- Diplomacy, strong business acumen, integrity and ability to handle confidential information
- Capability to work independently with limited supervision while maintaining effective collaboration with the wider team
- Aptitude to quickly learn new systems, processes, and maritime training requirements
- This role will be based in our London Hammersmith office, 4 days a week, with either a Monday or Friday working from home
- This role is offered on a fixed-term contract till end of September 2027
Desired Qualifications
- Previous experience in an administrative role within a shipping or cruise environment is highly beneficial
- Knowledge of maritime training requirements and the International Convention on Standards of Training, Certification and Watchkeeping for Seafarers is highly beneficial
