Job Summary

Schedule patient appointments for outpatient diagnostic testing and procedures, verifying demographics, insurance coverage, and Medicare compliance. Instruct patients on pre-procedure clinical preparations, answer phone calls within three rings, and transmit patient documents accurately via fax. Maintain files, coordinate test result requests with the Office Clerk, and avoid scheduling errors using conflict principles. Document special instructions, ensure HIPAA privacy compliance, and follow federal, state, and local regulations. Work the first shift from 8:30 a.m. to 5 p.m. at 250 East Liberty St in Louisville, KY.

Required Qualifications

  • High School Diploma or GED/ equivalent
  • Must be able to answer the phone within 3 rings, stating name, department, and/or job title, and asking, 'How may I help you?'
  • Must be able to repeat the following information back to the customer after appointments have been scheduled: name of procedure that was scheduled, date and time of appointment, and the time that the patient should arrive at the hospital
  • Must be able to take steps to avoid scheduling errors and reschedules errors that occur using conflict scheduling principles
  • Must be able to transmit all patient documents accurately and in a timely manner
  • Must maintain knowledge of procedures, times preparations, locations, physicians performing specific procedure and any special instructions associated with any procedure
  • Must maintain accountability for improving job knowledge and skills
  • Must maintain a professional image and observe 'On-Stage' and 'Off-Stage' behaviors
  • Must ensure all 'Off-Stage' behaviors (personal conversations, use of telephone, eating, etc.) are kept
  • Must work as a team player enhancing team effectiveness, supporting and assisting team members, the department and/or the organization
  • Must maintain compliance with all company policies, procedures and standards of conduct
  • Must comply with HIPAA privacy and security requirements to maintain confidentiality at all times

Desired Qualifications

  • At least one (1) year of hospital or clinical scheduling experience
