Job Summary
Manage catering inquiries, distribute leads to sales managers, and prepare proposals, contracts, and banquet event orders. Maintain accurate client records, coordinate event details between clients and internal departments, and assist with menu selections and rooming lists. Track deposits, signed contracts, and required documentation while scheduling site inspections and client meetings. Respond to client questions and provide exceptional customer service. Generate reports, update forecasts, and maintain event calendars to support the Catering Managers and Director of Catering with administrative tasks.
Required Qualifications
- High School diploma
- Minimum three to five years of extensive clerical/secretarial experience
- Must be able to move, lift, carry, push, pull, and place objects weighing less than or equal to 20 pounds without assistance
- Must be able to stand, sit, or walk for an extended period of time or for an entire work shift
- Must be able to reach overhead and below the knees, including bending, twisting, pulling, and stooping
- Must be able to use, carry, and operate all necessary office equipment using finger dexterity
- Must be able to communicate with employees, managers, subordinates and guests through verbal communication, hearing ability, and visual acuity
- Must be able to visually look at a computer for extended periods of time
- Must be able to adapt to moderate temperatures in the hotel as thermostat is controlled by hotel environmental systems
- Must maintain a neat, clean and well-groomed appearance per Biltmore Hotel standards
Desired Qualifications
- Bachelor's Degree
- Catering background
- Knowledge of Delphi Sales software
- Experience in a hotel environment
