Catering & Conference Services Coordinator

Job Summary

Develop full working knowledge of hotel operations and policies to detail assigned group and catering events from start to finish. Create banquet event orders, manage location requests, floorplans, menus, and AV liaison details while ensuring accuracy across Delphi, A3, and sales systems. Act as liaison between event contacts and all hotel departments, distributing BEOs, contracts, and revisions to appropriate teams. Generate daily event lists, banquet order sheets, and change logs on a timely basis. Assist accounting in verifying group folios and final billing, and organize in-house events and deliveries as needed. Collaborate with Rooms Coordinator and Conference Services Director to create group resumes and cross-reference system details. Attend site visits, pre-planning meetings, and client conferences, occasionally handling light selling duties. Work in a high-pressure, dynamic environment requiring multitasking and problem-solving skills.

Required Qualifications

  • High School graduate or G.E.D. equivalent
  • Knowledge of Outlook, MS Word, and Excel
  • Must possess developed verbal and written communication skills to frequently negotiate, persuade, sell, and influence other personnel, and social or corporate event clients
  • Must be able to convey information and ideas clearly
  • Must be able to evaluate and select among alternative courses of action quickly/accurately
  • Must work well in stressful, high-pressure situations
  • Must maintain composure and objectivity under pressure
  • Must be effective in handling problems in the workplace, including anticipating, preventing, identifying, and solving problems as necessary
  • Must have the ability to assimilate complex information, data, etc. from disparate sources and consider, adjust, or modify to meet a particular need
  • Must be effective at listening to, understanding, clarifying, and resolving concerns and issues raised by coworkers and guests
  • Must be able to work with and understand financial information and data, and basic arithmetic functions
  • Occasional overtime work required to meet deadlines, possibly some weekend duties

Desired Qualifications

  • One year of event planning, conference services, or banquet experience in the hospitality industry is preferred
  • Experience with sales and/or event computer systems including Delphi is highly encouraged
  • OnQ Hilton experience an added plus
  • Capable of using multiple systems at the same time
  • Self-starter, results-oriented, team player, and demonstrates a high-level attention to detail
  • Flexibility and adaptability to a dynamic, evolving work environment
  • Over communicating is a good thing
