Job Summary
Campus Secretary providing administrative and secretarial support for the Campus Director/Headmaster and department. In addition to typing, filing and scheduling, performs duties such as financial record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures. Responsibilities include assisting parents with enrollment forms, maintaining PEIMS-related records, processing purchase orders, managing attendance records, preparing reports, greeting visitors, handling communications via email/phone, and traveling as necessary. Requires 1 year certificate, 2+ years office experience, 60+ WPM typing, and proficiency with Google and Microsoft Office; ability to handle confidential information and travel as needed. This role may involve after-hours work and coordination with corporate staff.
Required Qualifications
- 1 year certificate from college OR technical school
- 2+ years of experience in working within an office environment
- 2+ years of experience working with the Google and Microsoft Office suite of applications
- 2 years of related experience and/or training; or equivalent combination of education and experience
- Able to alphanumerically and chronologically file documents, develop office procedures, and follow directions
- Able to handle confidential information in a professional and secure manner
- Able to answer phones, take messages, and direct others to the appropriate staff and/or department
- Able to type 60+ WPM
- Able to work office equipment
- Able to disseminate information according to ResponsiveEd, State, and Federal Guidelines
- Excellent verbal and written communication skills
- Ability to learn customized computer programs
- Ability to communicate effectively verbally and in writing with staff, students, and parents
- Ability to manage multiple priorities effectively
- Ability to develop and maintain effective working relationships
- Ability to travel as necessary
