Job Summary

Coordinate program data within the Cal-SOAP database (LACAI) by performing weekly data entry from sign-in sheets, student forms, and activity logs while maintaining FERPA compliance. Generate weekly, monthly, quarterly, and annual reports to track program performance, including the CSAC Annual Program Plan and in-kind match documentation. Serve as a liaison to database consultants for system troubleshooting and host weekly office hours to assist staff with data entry procedures and reporting questions. Submit required program reports and documentation to the California Student Aid Commission and Governing Board within established deadlines. Maintain organized electronic and physical files and resolve data discrepancies in collaboration with program leadership.

Required Qualifications

  • High school diploma or equivalent
  • Minimum of one (1) to three (3) years of progressively responsible clerical or administrative support experience
  • Demonstrated experience with data entry, recordkeeping, and report preparation
  • Working knowledge of standard office procedures and administrative practices
  • Ability to organize and coordinate administrative workflow and meet deadlines
  • Strong attention to detail and data accuracy
  • Ability to compile, generate, and interpret reports using database systems and spreadsheets
  • Proficiency in Microsoft Office Suite (Excel, Word) and database systems
  • Ability to maintain confidentiality of sensitive information
  • Strong written and verbal communication skills
  • Ability to work independently and collaboratively in a team-oriented environment
  • Ability to prioritize multiple assignments in a fast-paced setting
  • A cover letter and resume are required

  • A background check (including a criminal records check) must be completed satisfactorily

Desired Qualifications

  • Experience supporting grant-funded or educational access programs
  • Knowledge of college access programs and student data reporting requirements
  • Experience with database management systems
  • Bilingual in English and Spanish
  • Experience analyzing program data to support reporting and compliance
  • The incumbent must demonstrate an interest or ability in working in a multicultural/multiethnic environment
